Agenda - PTA Meeting 19th January 2021

1. Minutes of previous meeting (17th November 2020)
It was confirmed that everyone saw the previous meeting minutes and had no objections or questions regarding the details of them.
Insurance was confirmed by signing up to ParentKind.
Defibrillator has been installed. As it was a community defib, look at getting local press involved and putting up a poster designed by Y6 in the Co-op and on the blog. Mrs Evans to speak to school about Y6 doing a poster for it. Can we look at defib training as this was included as part of the funding application.
2. Finance Update
Current bank balance is £5400. It was confirmed that there were no other outstanding payments to leave the account. The total amount made from the Christmas activities was £1205.63.
We have made £326.40 from Your School Lottery so far and we are projected to make £1,394 for the year.
It was decided that the lottery would be pushed more on social channels to remind members to renew sign up that they had for any set timeframe, before such time lapsed, and to encourage members to purchase tickets on a rolling basis.
Mrs Evans will arrange for it to be promoted via Twitter.
The Lloyds bank account name needs to be changed from Kerstin Ackerman-Lloyd to Christina Chan. Kersitn will look into this and liaise with necessary parties.
3. Constitution Adoption
Thanks were given to members for sending on their email addresses to Emily so the amended constitution could be agreed and signed.
It was explained that when we made the change to the constitution by adding in the dissolution clause, we didn’t follow the correct process.
In order to produce a resolution, we need to minute this discussion in this meeting and have two members of the PTA sign the minutes before submitting them to the Charity Commission.
4. Projects:
a. Dragon Bags
i. The Dragon Bank is still at the school but cannot be accessed at the moment. A blog has been posted to encourage parents to keep any deposits at their houses until the bank re-opens. Caro suggested she would be happy to keep any donations at her house in the meantime.
ii. A poster to promote Dragon bags will be put up in the Co-op if we can get permission. Mrs Evans to check if the school are happy to go ahead with this.
iii. Mrs Evans to check with Mrs Cox that they have received a payment from Dragon Bags.
iv. Mrs Cox called Christina/ Rhian querying a payment from Lloyds ref “Swindust/ Penygawsi/ Uniform”.
v. Mrs Rees to confirm the amount – roughly £37.00.
vi. Caro to contact Dragon Bags to confirm they have the correct details.
b. Orchard Trees
i. Mrs Rees and Caro completed the application form for the project and are waiting to hear back about the delivery of the five trees.
5. Fundraising:
a. Christmas updates – all covered in the financial update.
i. Thanks were given to Tim for organising the photos and to the school for their support.
b. Virtual Balloon race
i. It was agreed by the members and prior to the meeting by Mrs Harries, that this was a great fundraising and learning opportunity for the children and the school.
ii. The events are usually seasonal and this time we will opt for Valentines day and it will replace the usual Valentine’s Disco. Caro will liaise with the school and the group to set-up and sponsor the event.
c. Sponsored Read and Usborne books
i. The sponsored read will take place during the Easter holidays. Payments will be made through PayPal and we will benefit from Gift Aid.
ii. Lucie-jo will liaise with the school regarding the Usborne book discount/donation.
d. Easter plans
i. The Christmas Fayre FB page has now become a ‘Supporting Small Businesses’ page. We will look to sell Easter goods (non-religious) to fundraise for the school
e. Virtual Bingo
i. Interest to be gauged via FB posts. The games could be held for families/ different Key Stages.
f. Krispy Kreme Donuts
i. Purchase the donuts at cost and sell them on in order to raise funds when the school is back open. Mrs Evans to raise with Mrs Harries.
Everyone agreed that they were happy for the activities to be shared on social channels in order to gauge interest/ promote activities.
The focus for fundraising this year:
Mrs Evans checking if we need more books. Bike rack, flooring on the playframe area were discussed as potential areas to focus fundraising efforts on.
6. Any other business
There is confusion when parents with multiple children are notified via text/app message that there has been a positive case of Covid in the school. It is unclear which child the message relates to. Mrs Evans to speak to the school about resolving this.
