PTA Annual General Meeting - Minutes

Minutes of Annual General Meeting held on 3rd October 2019

1. Welcome

All were welcomed to the AGM for 2019

2. Co-Chairs Report

The report was presented and approved.

Mrs Harries provided an update on the Defib, the Community Council will arrange for installation and the St John's Ambulance will provide monitoring.

The start time for the Neon Disco has been brought forward to 4.30pm and arrangements for children attending afterschool club will be confirmed before the event.  A new DJ has been booked and is half the price of the previous DJ.  He will be tried at the NEON Disco and if successful booked for the Valentine's Disco.

Mrs Harries thanked the PTA for its efforts in providing funding to the school at a time when school budgets are constrained.

The PTA will now create an infographic showing where the money raised is spent.  Texts will be sent out following PTA meetings with a link to the PTA blog where the minutes will be displayed.  All PTA members were encouraged to use Twitter and #ptapenygawsi.

3. Annual Statement of Finances

A statement of the finances for the period 13th August 2018 to 12th September 2019 was presented.  As at 12th September 2019 the balance was £6,126.68.  From this £2,500 will go towards chromebooks and £2,000 towards the defibrillator.  A minimum float of £1,000 will be maintained.  The PTA bank account will be moving from HSBC to Lloyds Bank to facilitate digital payments to make payment of invoices prompter.  This will still require two authorisations to make the digital payment.

The PTA agreed to take out its own insurance.

All money collected at PTA events will be counted on school premises.

4. Revised Constitution

A revised constitution was agreed and signed, this will now be sent to the Charity Commission.

All members signed a declaration of interests.

The outgoing co-chairs and secretary were thanked for their hard work and future contribution.




6. Any other business

The PTA will consider holding an event involving both parents and children such as a Barn Dance but adult only event as well, details to be discussed at the next PTA Meeting.

The PTA will also look at the possibility of holding a firework event, this will require specific training and consultation with the residents surrounding the school.

It was agreed that the PTA and the school will take part in the Just One Tree event during the week commencing 22nd November 2019.  This will be a non-uniform day for a £1 donation.  Mr Ball will discuss this at the Eco Committee.

The fun run will be a sports clothes day for a £1 donation.  Kate will ask Tesco for a donation of fruit to be given out at the run.  Kate is speaking to local supermarkets and Talbot Green market about donating fruit.  At the PTA on 16th September 2019 it was agreed that 50p would be charged for the fruit cones.  PTA is looking at getting a signed football to raffle on the day and Gar-Yee is looking into medals for finishing instead of sweets and chocolates.  Kerstin to check stickers and raffle tickets.  All money raised will go to the ELSA Room.  The Fun Run will be held on 18th October 2019.

The Neon Disco will be held on 7th November 2019, Gar-Yee to complete a poster.  Hot dogs and tuck for the event, 50 hot dogs to be bought.  Alison will order rolls from Tesco.

Parents are to be asked want they would like the PTA to raise money for through a survey.

7. Date and time of the next meeting

Date and time of the next PTA meeting is to be confirmed.
